Notice on Application for 2022 Special Fund for Important International Academic Conferences for Postgraduates of the School of Chemical Science and Engineering

Dear supervisors and postgraduates,

Since its establishment in 2007, the Fund for Important International Academic Conferences for Postgraduates of Tongji University has supported hundreds of postgraduates to participate in internationally influential academic conferences every year. It plays a positive role in activating postgraduates' academic thoughts and broadening their international vision.

Upon approval of the university, all schools are responsible for organizing the application for the special fund in 2022. The School of Chemical Science and Engineering now starts to receive applications. The specific notice is as follows:

I. Funding Objects and Conditions

1. Doctoral and graduate students applying for the fund shall meet the following conditions:

(1) Love the motherland, support the leadership of the Communist Party of China, and be highly qualified ideologically and politically; abide by national laws and regulations, the code of ethics for citizens, as well as the management system of the university, and consciously practice the socialist core values;

(2) Be full-time off-job doctoral and graduate students (not in the program of commissioned training or orientation);

(3) Abide by academic ethics, have strong scientific research ability and foreign language communication ability; have good academic performance and scientific research results, and no course failure records since admission;

(4) Academic papers or abstracts written by an applicant as the first author (or a supervisor as the first author and an applicant as the second author) with Tongji University as the unit of the first author and a corresponding author are accepted by authoritative international academic conferences held overseas in the field of this discipline and authors are invited to make oral or display board presentations. The academic conferences attended shall be included in the Catalogue of Important International Academic Conferences for Postgraduates at Schools (Disciplines) of Tongji University.

(5) The content of presentations at international academic conferences must be related to the research of dissertations;

(6) The 2022 major fund applicants are invited to complete or will make oral presentations at international academic conferences and oral or display board presentations at top-level conferences online;

(7) Have physical and mental health.

2. In principle, each postgraduate can receive the fund once this year.

3. Postgraduates shall strictly follow the rules and regulations of the university, and shall not affect the normal teaching order on the grounds of participating in international academic conferences, such as missed classes, missed examinations, delayed examinations, and re-examinations.

4. According to the relevant management regulations of the Graduate Office and the Foreign Affairs Office of the Party Committee of the university, students who intend to participate in international academic exchange activities online must complete the examination and approval procedures of the student exit system (myportal) in advance, and only after approval can they participate online.

II. Funding Contents and Standards

In 2022, the fund is mainly used to support the registration fees incurred by students'online participation in international academic conferences listed in the Catalogue of Important International Academic Conferences for Postgraduates at Schools (Disciplines) of Tongji University.The upper limit of the fund will be determined according to the conference level. See the table below for details:

If the same conference is included in the catalogue of multiple disciplines, the standards specified by this discipline shall be followed. If the conference involved in the application is interdisciplinary, it can be funded by referring to international conferences of other related disciplines, which must be determined after being reviewed by the conference fund expert group of the school.

III. Application and Review Procedures

1. An applicant shall apply to the school according to the fund application rules and time announced by the school, and the conference fund expert group of the school shall confirm the qualification, standards and scope of funding after review.

2. Application materials mainly include:

(1) Fund Application Form for Postgraduates of Tongji University to Participate in International Academic Conferences Abroad: The applicant shall fill in and sign it, and submit it together with other application materials to his/her supervisor, as well as the school's teacher and leader who are in charge of the fund for signing opinions;

(2) Notice of call for papers (introduction to the conference), formal invitation letter, proof of acceptance of the paper (it should be clearly indicated that an online oral presentation is arranged for the paper), and time schedule for the applicant to read the paper (please mark the information of your presentation with a marker pen) issued by the conference organizer, conference website, and screenshots of the applicant's oral presentation and other supporting materials (it is recommended to put the photos in a Word file and make corresponding text descriptions).

(3) The full text of the accepted conference paper (the materials must show that the applicant is the first author of the paper, and the first signatory unit is Tongji University; or the applicant's supervisor is the first author, the applicant is the second author, and both their signatory units are Tongji University);

(4) Those who have attended the conference should follow the approval form of myportal system for participating in the online international conference as required by the school;

(5) Receipts and invoices of expenses related to the conference and corresponding bank payment records.

(6) Template of Funding Letter: After the applicant is approved for the fund, the letter will be produced by the school and provided to the applicant as a funding proof;

(7) Fund for International Academic Conferences for Postgraduates - Summary Report Template: After participating in the conference, the applicant shall fill it in and provide 2-3 photos of reading the paper (jpg format). The electronic version of the summary report (docx format, and named with "name of the school - student number - name of the applicant") should be sent to the email address designated by the school's teacher in charge of the fund, which should be collected by the school and sent to the Graduate School at the end of the year. The paper version should be signed by the supervisor for confirmation and kept in archives by the school. Participants must make a public academic report within one month after the conference and submit it together with other reimbursement materials to the school.

2. According to the principle of "fairness, impartiality and openness", the school will evaluate the application materials, organize expert review, confirm the list of proposed fund winners, publicize it for opinions for not less than 5 working days, and issue the Funding Letter to the winning students;

3. Applicants should go through the dispatching procedures and attend online conferences in accordance with the relevant regulations of the university: Postgraduates should go through the relevant approval procedures for attending online international conferences in the myportal system according to the requirements of the Students' Affairs (Graduate) Office and the Foreign Affairs Office before attending a conference.

IV. Use of Fund and Procedures for Reimbursement

2. After the approval of the school, authorization will be made at the system of the Finance Office. Postgraduates can apply for reimbursement with relevant bills at the Finance Office, and will be reimbursed with the bills within the scope of the funding limit.

3. Relevant reimbursement procedures should be handled before December 10.For those who get financial support but give it up without authorization, the school has the right to implement the accountability system according to the actual situation.
